PROM Program - offer for incoming PhD students and academic staff members

The International Relations Office of the Jagiellonian University is renewing the possibility to host incoming PhD students and academic teachers at the Jagiellonian University within the PROM project – International exchange scholarship for PhD students and academic staff -  for short visits in order to participate in conferences, summer/winter schools or short form of education (internships, courses, workshops and training). 

The decision for hosting has to be taken based taking into consideration the circumstances and the necessity to execute the planned activities and the actual possibilities of carrying out such activities, taking into consideration the consequences regarding  the COVID-19 pandemic, more specifically:

The purpose of the Program is to improve competencies and raise scientific qualifications of PhD students and academic staff by international scholarship exchange.

The offer is addressed for applicants under 40 years old.

The project allows the applicant to take part on:

  1. Summer/winter school in JU units from 5 to 14 days (including travel days, e.g. 12 lecture days, 2 travel days),
  2. Scientific conferences in JU units from 5 to 7 days (including travel days, e.g. 5 lecture days, 2 travel days),
  3. Short-courses (internship, course, workshops) in JU units from 5 to 7 days (including travel days, e.g. 5 internship/course/workshop days, 2 travel days).

The arriving participants will have the financial aid as below:

Travel expenses from 1 000 to 5 000 PLN (amount is calculated based on the distance between the participant residence place and the Jagiellonian University), 
  1. Living costs for 5 to 14 days (from 3 to 12 days of activities and 2 days for travel), i.e.: From 4 000 to 7 780 PLN.
  2. Fee of participation in the conference or summer/winter school, with an average cost of 1 750 PLN. 

The scholarship will be paid after the arrival at JU regulated by a financial agreement. The amount (in PLN) will be transfered to the bank account indicated by the participant.

The person nominating the PhD student or the academic staff is requested to:

The call is ongoing while there are available funds.

The trips can happen during the winter and summer semester of the academic year 2020/2021 until the end of the Project, i.e., end of 2021.

PROM Program - offer for outgoing PhD students and academic staff members

1. CALL

The International Relations Office of the Jagiellonian University is announcing a call for PhD students and academic teachers of the Jagiellonian University with the PROM project for short visits in order to participate in conferences, summer/winter schools or short form of education (internships, courses, workshops and training). 

The purpose of the Program is to improve competencies and raise scientific qualifications of PhD students and academic staff by international scholarship exchange. 

The decision for traveling has to be taken based taking into consideration the circumstances and the necessity to execute the planned activities and the actual possibilities of carrying out such activities, taking into consideration the consequences regarding  the COVID-19 pandemic.

The Project provides for financing:  

  • costs of travel of the project participant; 
  • costs of living of the project participant; 
  • costs of conference fees; 
  • costs of participating in summer or winter school. 

Candidates may apply to implement visits to foreign institutions located in OECD member states (Organization for Economic Co-operation and Development) as well as outside of the OECD. 

Visits may be organized during the winter and summer semesters in the 2020/2021 academic year, from the moment of receipt of information about being qualified for visit, until the end of September 2021.

2. IMPLEMENTATION OF THE MOBILITY

A) FINANCING RULES

Each Participant qualified to participate in the Program will receive financing, which will cover: 

The costs of trip and the costs of living are lump-sum rates. The costs of conference fees and participation in summer/winter school are settled per actual costs based on invoices. 

B) INSURANCE

The participant must have insurance for the duration of the travel and the period of stay at the Hosting institution. The minimum scope of insurance must cover the basic health insurance and accident insurance.

Doctoral candidates and staff employed in UJ will have basic health insurance and accident insurance guaranteed by the University, pursuant to a trip request form submitted to the International Relations Office. Staff members employed at the Jagiellonian University based on a civil law contract are required to hold an individual insurance for the duration of the trip, which covers, amongst others, basic health insurance, and accident insurance. 

In any case, the participant may apply to the Polish National Health Fund NFZ for the European Health Insurance Card (EHIC). It is recommended that the participant registers his trip in the Odyseusz portal managed by the Ministry of Foreign Affairs.

C) FORMALITIES BEFORE THE TRIP

After being informed about qualifying, the participant of the PROM Program submits the following documents to the International Relations Office on at least 14 days before the trip:

  • Trip request form (wniosek wyjazdowy) signed by the participant, the direct supervisor and the Dean;
  • Completed Grant Agreement in 2 hardcopies, signed by the participant;
  • Financial document (a VAT invoice or pro-forma invoice) concerning payments for participation in the conference or a summer/winter school *
    * if applicable

NOTE! Costs of participation in the conference or summer/winter school may be paid by the participant directly. These costs will be reimbursed to the participant’s account after submitting the invoice bank and confirming the transfer of funds.

D) SETTLEMENT OF TRIP COSTS

Within 14 days after returning from the host institution, the participant of the PROM Program is required to settle the trip at the International Relations Office.
