The funds for incomming mobilities under the PROM have run out.
CALL
The International Relations Office of the Jagiellonian University kindly informs about the call for doctoral students within the PROM Programme – International exchange scholarship for doctoral students and academic staff in order to participate in conferences or short forms of education, i.e. internships, courses, workshops or trainings, which can be implemented until June 30, 2023.
The purpose of the Programme is to improve competencies and raise scientific qualifications of participants by international scholarship exchange.
The Programme covers:
- costs of travel (calculated according to the distance calculator);
- costs of living depending on the length of stay abroad
- costs of conference fees*
* if applicable
The mobilities can be implemented until June 30, 2023.
- The offer is addressed only to PhD students under 40 years of age.
- The offer is addressed to doctoral students of full-time and part-time studies, as well as participants of Doctoral Schools with a Grade Point Average (GPA) from all years of study at least 4.0.
- Candidates can apply for a mobility to any foreign institution.
- Candidates can apply for a mobility to a conference or a short form of education lasting from 3 to 5 days (excluding travel days).
- Candidates are required to know the language of instruction of the host university or English at a level that allows them to freely participate in the planned activities.
- Priority will be given to candidates who have not yet participated in mobilities within PROM Programme
In order to apply to the PROM Programme the candidates are required to:
- Complete and submit the online Application form
- Send the following documents by e-mail to the International Relations Office at marzena.butanowicz@uj.edu.pl:
- Recruitment form signed by the Candidate and the supervisor
- A scan/screenshot of the website with official information about the event (dates, topics, programme, fees).
- A document confirming the Grade Point Average (GPA) above 4.0 (the certificate is issued by the Institute or Faculty). First-year doctoral students submit a certificate of average from the last completed cycle of studies.
- Candidate's statement for the project of consent to the processing of personal data as part of the Project - signed by the Candidate.
The deadline for submitting applications is 04 April 2023.
Candidates are obliged to get acquainted with the PROM Regulations and its Amendments as well as the GDPR Information Clause applicable at the Jagiellonian University.
Recruitment will be settled at the beginning of April 2023. Candidates will be notified individually by e-mail about the recruitment results. If the number of applications exceeds the financial limits, a reserve list will be created.
Trips can be carried out from the moment of receiving the decision, in accordance with the procedures related to the implementation of trips abroad specified in the Regulations and Communications of the Authorities of the Jagiellonian University.
FINANCING RULES
Each Participant qualified to participate in the Programme will receive funding that will cover:
- costs of travel (calculated according to the distance calculator);
- costs of living;
- costs of conference fees or costs of participating in summer/winter school*
*if applicable
The costs of trip and the costs of living are lump-sum rates. The costs of conference fees are settled per actual costs based on invoices.
INSURANCE
The Participant is insured for the duration of the trip and stay in the destination country on the basis of the Foreign Travel Request Form for international trips submitted to IRO.
The Participant is obliged to read the insurance conditions available on the IRO website. If the host entity requires additional insurance, the cost of it is covered by the Participant.
Regardless of the insurance provided on the basis of the submitted Travel Request Form, the Participant may apply to the Polish National Health Fund (NFZ) for a European Health Insurance Card (EKUZ). The Participant is obliged to register the trip on the Odyseusz website run by the Ministry of Foreign Affairs.
FORMALITIES BEFORE THE TRIP
The Participant of the PROM Programme submits the following documents to the International Relations Office at least 14 days before the trip:
- Foreign Travel Request Form (wniosek wyjazdowy) in accordance with the applicable procedure
- Completed Grant Agreement in 2 hardcopies, signed by the Participant;
- A financial document (VAT invoice or pro-forma invoice) for participation in a conference * along with a payment confirmation * if applicable
SETTLEMENT OF TRIP COSTS
Within 14 days after returning from the host institution, the Participant of the PROM Programme is required to settle the trip at the International Relations Office.
The costs of the trip will be settled after completing and signing the following documents:
- The Original Certificate of participation with the dates of participation (excluding travel days), authorized by the orginizer, along with a detailed description of the effects of the study visit;
- Project participant data form;
- Declaration of the project participant (GDPR);
- Declaration of the project participant;
- Visit settlement form;
- Completion and sending of the on-line survey – every participant will receive a unique TOKEN.
