Responsibilities

The International Partnerships and Mobility Section is responsible for:

  1. supporting activities related to initiating and coordinating international cooperation of the Jagiellonian University with international universities and research institutions at the university-wide level;
  2. preparing bilateral agreements on scientific cooperation realised at the university-wide level;
  3. providing support to JU units interesting in signing cooperation agreements on faculty and institute level;
  4. maintaining the database of all the JU's bilateral agreements with international universities and research institutions (Centralny Rejestr Porozumień o Współpracy Naukowej) and the registration of bilateral agreements in the USOS system;
  5. coordinating exchange within bilateral agreements at the university-wide level and providing administrative and financial assistance to JU staff, PhD candidates and students;
  6. collaborating with JU units concerning the realization of bilateral exchange of students/PhD candidates at the university-wide level;
  7. providing administrative support to the Rector's Committee for Bilateral Grants for Students and PhD Candidates;
  8. coordinating and providing administrative assistance to The Ryoichi Sasakawa Young Leaders Fellowship Fund (SYLFF) and the Jagiellonian University SYLFF Steering Committee;
  9. providing administrative and financial assistance to holders of the Lew Sapieha Award and the Iwan Wyhowski Award (academic staff and PhD candidates from Belarus and Ukraine) as well as the JU grant-holders of The Króliczewski Educational Fund;
  10. providing administrative support for mobility programmes and governmental scholarship holders under the offer of National Agency for Academic Exchange (NAWA);
  11. organising trainings and meetings for international relations officers from partner universities;
  12. providing reception, service and co-organization of delegations and visits from foreign units, coordinated by Rector's Office or Office of the Vice-Rector for International Relations;
  13. ogranising and co-organising university-wide international events;
  14. involvement in the activities of international cooperation networks coordinated at the university-wide level;
  15. cooperation with JU units in the activities of international cooperation networks;
  16. coordination and management of mobility programmes offered by Polish and foreign funding agencies;
  17. implementing international educational and mobility projects with foreign entities;
  18. cooperation with JU units in the field of rankings, internationalisation and international cooperation;
  19. coordinating and registering ERASMUS+ agreements (KA1 Mobility for learners and staff) and providing administrative and financial assistance to staff mobility within this programme, in particular:
    1. cooperation with coordinatiors of the JU units participating in this programme,
    2. organisation of the recruitment process for mobilites of JU staff,
    3. administrative and financial support to JU staff qualifies for international mobilities,
    4. preparation of mobility financing agreements for JU staff,
    5. cooperating with coordinators of partner universities within the scope of the agreements,
    6. preparing mobility reports for the Erasmus+ programme,
    7. administrative management of Mobility Tool+ platform for JU staff,
    8. organizing/co-organizing of Erasmus Staff Training Weeks at JU,
    9. cooperation with the JU Erasmus+ coordinator,collaborating with JU units concerning rankings, internationalisation and international cooperation;
  20. administrative service of Horizon Europe Weeks initiative and the Visiting Professors Program;
  21. preparing reports on international cooperation within the scope of the IRO's tasks;
  22. publishing IRO's periodical Newsletter (in English);
  23. spreading the word among students, PhD students and JU researchers and staff about study offers, scholarship opportunities, language courses, summer/winter schools, international conferences and other foreign offers (mailing list and posts on social media);
  24. IRO's website administation, along with International Visitors' Office, HR Guide, the Visiting Professors Program, Erasmus+ Programme (HR staff), SYLFF Programme, Coimbra Group, Utrecht Network and The Guild

The tasks of UNA Europa Section include:

  1. support of JU organizational units in the activities undertaken within the framework of cooperation with partners associated in Una Europa and in the scope of projects implemented within the framework of Una Europa activities at the Jagiellonian University
  2. administrative support of JU organizational units involved in the implementation of tasks in key thematic areas of Una Europa Alliance
  3. cooperation with corresponding administrative units of Una Europa partners and the Una Europa Office in Brussels
  4. close cooperation with the JU Rector's Proxy for Cooperation within the Framework of Una Europa and the Office of the JU Rector's Proxy for Cooperation within the Framework of Una Europa
  5. overseeing the documentation and information flow on scientific and teaching projects carried out within the Framework of Una Europa’s partners
  6. conducting activities related to the mobility of research staff, students and PhD students within the Framework of Una Europa, including assistance in the preparation and settlement of domestic and foreign travel of its participants
  7. conducting marketing and promotional activities at the Jagiellonian University and Una Europa member universities about several tasks undertaken within the Framework of Una Europa
  8. overseeing the budget of Una Europa at the Jagiellonian University, including the budget of projects carried out as part of Una Europa's activities at the Jagiellonian University, and maintaining related financial and accounting documentation

The Administration and Finances Section is responsible for:

providing administrative and financial assistance to all qualified for international mobility, i.e.: staff, PhD candidates and students of the Jagiellonian University, contractors/participants of projects finances from external sources, persons from outside the Jagiellonian University employed within civil-law agreements, in particular:

  • accepting mobility application forms and their verification,
  • defining mobility procedures and settlement of advance payments,
  • information on the rules of calculation of expenditures on mobility,
  • mobility database,
  • collaboration with the JU Bursar's units,
  • international insurance for staff, PhD candidates and students,
  • financial assistance to mobility within Erasmus+.
