OUTGOING UNDERGRADUATE/GRADUATE/DOCTORAL STUDENTS

Eligible candidates for the exchange program within the bilateral cooperation: are on the: 

- 2nd year of bachelor’s studies (1st cycle degree), 

- 1st year of master's  studies (2nd cycle degree), 

- 2nd – 4th years of a 5-year-masters studies (long-cycle); 

and 1st – 3rd years of doctoral studies (3rd cycle degree). 

The required documents for students and PhD students interested in taking part of the exchange program are available in the file „Aplikacja studenta/doktoranta* na wyjazd w ramach ogólnouczelnianych porozumień bilateralnych”. 

The candidate is required to provide also the documents required by the partner universities. 

The list of additional documents for a specific application and institution will be provided in the announcement.

The application for the exchange program is divided into two stages. 

First stage: Evaluation of the applications by the Rector’s Committee for Bilateral Scholarships for JU undergraduate, graduate and doctoral students. 

Second stage: Acceptation of the applicant by the partner university. 

NOTE: Applicants who move on to the second stage might be asked by the host University to provide additional documents. Failing to provide such documents might result the disqualification of the applicant. 

FINANCIAL CONDITIONS: The host University provides JU students fee waivers. Some universities might offer scholarship or cover accommodation costs. 

The Jagiellonian University bears the costs of: 

- the round trip tickets in Economy class; 

-  visa (if applicable); 

- one flat rate travel allowance for hotel transfer (in accordance with the country rate stipulated by the Regulation of the Minister of Family, Labor and Social Policy); 

- travel insurance for the period of stay. 

Exchange program participants cover the remaining costs related to their stay abroad (living expenses, additional materials, etc…). 

INCOMING UNDERGRADUATE/GRADUATE/DOCTORAL STUDENTS

All students (undergraduate/graduate/doctoral students) willing to pursue their exchange program in the Jagiellonian University within the bilateral exchange should be nominated by the International Relations Office (or equivalent) of their home university. 

APPLICATION FOR PHD STUDENTS AND STAFF MEMBERS

Detailed information regarding the application for doctoral students and staff members are published by the end of September each year. Please check the announcements.

Staff members applying for an exchange program abroad should submit:  

1) "Zgłoszenie na wymianę bilateralną"  that includes the funds declaration from the unit. It shall have the same amount of days as the stay abroad itself. Such declaration must be signed both by the trustee and Dean of the Faculty,  

2) Working Program (in accordance with the specific selected country)

In case the stay is longer than 30 days, the funds declaration should be of 30 days.

In case of the doctoral students going to Vienna (Austria) for trips longer than 15 days, the declaration of funds should be of 5 days.

The amount of days is calculated as so called, person-day (the value of a one person-day is 200 PLN). In December of the same year when employee’s stay finishes, the unit of the employee is charged by the total amount of person-days. The money gathered from the funds declarations are used to cover the accommodation costs of incoming employees, within the bilateral cooperation, at the JU.

After the application deadline is over (October/November), the Committee for Academic Research Funding and International Relations will evaluate the applications for the visit abroad within the bilateral agreement.

The trip can happen only after the final acceptance of the employee by the host institution.

The travel form (wniosek wyjazdowy), should be submitted at least 10 days before the departure date. The confirmation of acceptance issued JU’s IRO should submitted together the travel form.

Rules for the scholarship offered by JU for the exchange program within the bilateral cooperation:

Trips to the partner universities that cover living expenses (i.e. accommodation and daily allowances) for JU’s doctoral students and employees, JU will cover the health insurance in accordance with the travel form (wniosek wyjazdowy). The home unit (institute/faculty) may cover tickets costs, flat rate travel allowance or other financial support from different sources;

Trips to partner universities that cover only accommodation for JU’s doctoral students and employees, JU will cover the  health insurance in accordance with the travel form (wniosek wyjazdowy), whereas JU’s IRO will pay a daily allowance of 20 EUR. The home unit (institute/faculty) may cover tickets costs, one flat rate travel allowance or even complete the difference between the daily allowance provided by IRO and the allowance stipulated by the Ministry of Family, Labour and Social Policy.

Trips to partner universities that do not cover any expenses for  JU’s doctoral students and employees, JU will cover the  health insurance in accordance with the travel form (wniosek wyjazdowy), whereas )  JU’s IRO will pay a daily allowance of 80 EUR – for staff members, and 50 EUR – for doctoral students. The home unit (institute/faculty) may cover tickets costs or flat rate travel allowance. 

INCOMING EMPLOYEES

All faculty and non-faculty staff members willing to pursue their exchange program in the Jagiellonian University within the bilateral exchange should be nominated by the International Relations Office (or equivalent) of their home university.
